This describes what we actually do with your data today and is accurate. The wording has not yet been reviewed by a lawyer against India’s Digital Personal Data Protection Act 2023. If anything here matters to a decision you are making, write to us and ask.
What we collect
To prepare and file a visa application we collect: your name, contact details and date of birth; your passport details; your qualifications and transcripts; evidence of your finances, including bank statements; and the documents a consulate requires, which may include medical and police certificates. We collect it from you, and only what the application needs.
Why we hold it
To deliver the service you engaged us for, to meet our own legal and tax obligations, and to improve how we advise people. We do not sell your data and we do not use it for advertising.
Who sees it
Your counsellor and, where a second check is needed, a reviewer. Staff can only reach the cases assigned to them — this is enforced by the database, not just by what the screen shows. Documents are shared with consulates, institutions and employers only where your application requires it.
A parent or sponsor you add can see your case status, invoices and funding documents. They cannot see the rest of your documents, our internal notes, or our internal assessment of your file.
How it is protected
- Passport and bank identifiers are encrypted in the database.
- Uploaded documents are never publicly addressable. They are reachable only through links that expire, and only after you sign in.
- Passports, bank statements and decision letters are never attached to an email. They are shared only as expiring, authenticated links.
- Every view, download and change of sensitive data is logged.
How long we keep it
Uploaded documents: 24 months after your case closes. Invoices and tax records: 8 years, because Indian tax law requires it — these survive a deletion request, and we will tell you so. Enquiries that never became a case: 24 months. Access logs: 8 years.
Your rights
You can ask for a copy of everything we hold about you, or ask us to delete it, from the Privacy page inside your portal or by writing to us. We respond within 30 days. You can withdraw consent for optional processing — such as AI-assisted checking of your documents, or using your words as a testimonial — at any time, without affecting the service you receive.
AI-assisted checking
With your consent, we use automated checks to read your documents and flag inconsistencies between them — a name spelt differently, a date that does not match. A person reviews everything before it is used, and nothing a machine reads is treated as fact until a member of staff confirms it. Identifiers are masked before any text is sent for processing. You can turn this off and we will check by hand instead.
